Every appointment request gets a reply — with nothing sensitive in it.

AutoMapped tracks new-patient requests from first contact to active patient, confirms appointments and sends recall reminders, with privacy-conscious wording throughout.

Set up for physical therapy, chiropractic, primary care, specialty and wellness clinics.

Where leads slip

Sound familiar?

The usual gaps between an inquiry and a patient — and what AutoMapped does about each one.

  • Requests come in while the front desk is with patients.

Each request gets an immediate, generic acknowledgement and a callback task, so nobody waits days to hear back.

  • Booked visits go unconfirmed.

Appointment confirmations go out automatically, with an easy way to reschedule.

  • Patients fall out of care between visits.

Recall-due and lapsed-patient stages show who's due back, and recurring services carry a reminder interval.

  • Treatment plans are presented and then forgotten.

A follow-up checks in after two days — without naming the treatment — then reminds your team to call.

Customer journey map

Your new patient pipeline, ready on day one.

Stages are named the way you work, and every patient on the map has a clear next step. Stages move when the evidence says so — a booked appointment, an accepted treatment plan — and every move is explained.

Next step: Acknowledge right away, then call back

  • Annual physical · every year

Defaults you can change for your business.

Follow-up automations

Follow-ups worded for clinics and healthcare practices.

Ready-made sequences that use your terms. Nothing goes live until you switch it on, and every sequence stops when the person replies, books or opts out.

  • Consent and opt-outs tracked per channel
  • Quiet hours and daily caps enforced before sending
  • Every step logged, so you can see what was sent

Privacy-conscious by default

Automated texts and emails from this template only ever say that you received a request and will be in touch. They never mention the reason someone contacted you, and the lead form asks people not to include sensitive details.

  • New lead: acknowledge & follow up

Says only that you received the request and will be in touch, and asks people not to send medical details by email.

    Text message
Hi Sam, thanks for contacting [Your business]! We received your request and will be in touch shortly. Reply STOP to opt out.
  • Missed call recovery

Texts callers you couldn't answer to say you'll call back — nothing more.

    Text message
Sorry we missed your call. This is [Your business] — we'll call you back shortly. Reply STOP to opt out.
  • Appointment confirmation

Confirms booked appointments by email, with an easy way to reschedule.

  • Treatment plan follow-up: 2 days, 2 weeks, 2 months

Checks in after a treatment plan is presented, without naming the treatment.

What you get

Everything between “new inquiry” and “come back soon.”

  • Speed-to-lead follow-up

New inquiries get an instant acknowledgement, your team gets an alert and a callback task, and follow-ups continue until the patient replies or books.

  • Appointment confirmations

Every booked appointment gets a confirmation with an easy way to reschedule.

  • Repeat-service reminders

Recurring services come with a reminder interval, so patients hear from you when the next visit is due — not when someone happens to remember.

  • Missed-call text-back

When nobody can pick up, AutoMapped can text the caller back and add a callback task, so the inquiry doesn't go cold.

  • AI receptionist

Answers calls when you can't, using only the services and policies you approve. It can book appointments, take a message, or hand off to a person.

  • Free website assessment

How it works

FAQ

Questions from clinics and healthcare practices

Is AutoMapped an electronic health record?
No, and it shouldn't be used as one. AutoMapped manages appointment requests, follow-up and recalls. Keep clinical notes in your clinical systems, and check your own obligations (for example HIPAA in the US) before connecting patient data. Ask us about your requirements before you start.
What do patients actually receive?
Short, generic messages: that you received their request, a confirmation of their appointment time, or a reminder that they're due back. Diagnoses, treatments and reasons for visit are never included.
Can patients opt out?
Yes. Replying STOP to a text opts them out of SMS, and every marketing email has an unsubscribe link. Opt-outs are recorded per channel and respected by every automation.
Does AutoMapped use our terminology?
Yes. When you choose “Healthcare & clinics” during setup, AutoMapped talks about patients, appointments, treatment plans and visits, and your pipeline starts with stages such as New request, Appointment booked, First visit completed, Treatment plan presented. You can tailor it from there.
Do I need to set up integrations first?
No. The CRM, journey map, daily briefing and website assessment work on day one. Connect email, SMS, calendar and phone when you're ready — until then, anything that would send is clearly marked as a preview.
